Our principle
The platform is built so that automation prepares, chases, schedules and routes — and people decide. No decision that has a legal or similarly significant effect on you (for example whether you are eligible for funding, whether you are admitted, whether you pass, whether you get a certificate, or whether you are hired) is made solely by automated means. This is how we meet Articles 22A to 22D of the UK GDPR (as amended by the Data (Use and Access) Act 2025, in force 5 February 2026).
We do not use artificial intelligence to make decisions
The platform does not use machine-learning or generative AI models to assess, score or decide anything about people. The automated steps below are fixed, written rules that a person can read and check.
What is automated
| What happens automatically | What it produces | Who decides |
|---|---|---|
| Eligibility pre-check for a funded place | A recommendation — likely eligible, needs evidence, or refer to an officer — with its reasons, the funding rule version and any missing evidence | A member of staff with funding rights records the eligibility decision |
| Missing-evidence reminders | Reminders every few days up to a limit, then a named member of staff is told | Staff review every document |
| Completion and certificate readiness | A draft completion confirmation and certificate once every requirement is recorded | A tutor or lead confirms completion; a lead, compliance officer or administrator issues the certificate |
| Funding milestone evidence packs | A pack of evidence for a milestone and a proposed claim | One person prepares and a different person approves; nothing is sent to a funder automatically |
| Scheduling assistant | Proposed practical slots and test booking windows | A lead or trainer opens slots; staff book tests |
| Learner nudges and reminders | A reminder if you have not been active for 5 days, and the day before a test or session | Information only |
| Job matching | A match score between a vacancy and a job profile, always with its reasons (licence, Driver CPC, region, availability, experience, shift); never protected characteristics | Employers and staff decide who to interview and hire |
| Vacancy and employer reminders | Closing-soon, outcome and retention confirmation reminders; overdue invoice reminders | Employers confirm; staff follow up |
| Retention check-ins | A short survey to a placed driver; issues routed to a named member of staff | The named contact records the check-in |
| Data retention | A daily preview of records due for deletion or anonymisation | Compliance applies it with a deliberate click |
| Security and abuse controls | Rate limits on public forms; spam trap fields | Automatic, but they only delay or block a submission — you can contact us another way |
Every automated action is logged, and a daily digest tells managers what was automated. An administrator can pause every job at once.
Analytics
Our own page-view counts and management statistics are aggregates and are not used to make decisions about individuals. Optional PostHog analytics is used only to improve the website (Cookie policy).
Your rights
If you think a decision about you was made without a person, or you disagree with a recommendation that was used, you can ask for a person to review it, give your point of view and contest the decision. Contact [to be confirmed: privacy and data protection email address]. See also Your data rights and how to use them and, for training decisions, the Assessment appeals policy.
